Digital signature in Flokzu



Digital signatures are a key component in the digitization of business processes. Flokzu allows you to integrate digital signatures as a native task within any workflow , achieving truly end-to-end processes: from the request to the signed document, everything happens within the same flow, without interruptions, paperless processes, and without disconnected tools.




Why combine BPM with digital signatures?



Automating a business process with a BPM platform like Flokzu simplifies task management, approvals, and routing. However, many processes culminate in a document that must be legally signed: a contract, a purchase order, an employment termination agreement, or an informed consent form. Without integrated digital signatures, this final step forces users to step outside the workflow, print, scan, or use a separate tool, breaking traceability and causing delays.

Signature solutions available at Flokzu



In addition to the Signature type field , Flokzu offers native integration with two digital signature platforms , both providing an identical user experience and interface within Flokzu. The choice between them depends on the regulatory framework and the required level of legal validity.



DocuSign


DocuSign is a widely used electronic signature platform. It is the recommended choice for organizations that already use DocuSign in their operations, or that have a global presence and need an internationally recognized solution. It supports simple, advanced, and certified signatures according to global standards.



VaFirma


VaFirma is a digital signature platform specializing in digital identity and signature solutions. It understands the specific technical and regulatory needs of each market in the region and is the recommended option for Latin American organizations requiring local regulatory compliance, especially when advanced digital signatures with full legal validity are needed.



What does integration allow?


Regardless of the solution chosen (DocuSign or VaFirma), the integration within Flokzu works identically and allows:


  • Attach the document directly from the process in Flokzu
  • Send it for digital signature without leaving the workflow
  • Define who should sign (either fixedly or dynamically using form fields)
  • Select the desired signature type: simple, advanced, or biometric
  • Add people to the carbon copy list (who can view and download the document, without needing to sign)
  • Track the status of each signature in real time: pending, signed, rejected



💡 Tip: Thanks to Flokzu's print template functionality , it is possible to automatically generate the documents to be signed from the form data, before sending them for signature.



Prerequisites


  • Be subscribed to a Flokzu Service Plan
  • Have an active account with DocuSign or VaFirma


Below you will see the steps to link your account and insert the Digital Signature request into your process.



The integration can only be used once you have enabled it in your account settings. Keep in mind that integrations are unique to the entire organization, meaning that any process in Flokzu can use them to send documents for signature.



VaFirma


Go to the Settings → Advanced section in Flokzu and navigate to the Digital Signature option .


  1. To enable integration with VaFirma, you must first complete the API Key, Secret , and Issuer fields . You can find this information within your VaFirma account.
  2. Click the Save Settings button .
  3. Enables integration with the slider.


To incorporate the signature request into a process, simply drag a Service Task into the workflow and select the VaFirma option , then complete the fields for submission.





DocuSign



Go to the Settings → Advanced section in Flokzu and navigate to the Digital Signature option .


  1. In the DocuSign Integration section , click Enable Permissions . You will be redirected to DocuSign, where you will need to log in (if you haven't already) and authorize access to your account. This will give Flokzu permission to send documents on your behalf.
  2. Finally, you will need to enable the integration using the slider located on the right side.



In the "Service Tasks" section of the process workflow, you will see the DocuSign option .





Sending and tracking signature requests



When the process instance reaches the Signing Task, the document will be automatically sent to the signers.

Once submitted, an additional Digital Signatures tab will appear in the instance, where you will be able to see:


  • The names of the files sent
  • The signatories involved
  • The current status of each firm:


The signed version of the document will only be accessible from the signing platform (DocuSign or VaFirma), thus ensuring greater control over viewing permissions for sensitive information.


Attachment limit: You can include up to a maximum of 5 files in each submission. The total size cannot exceed 10 MB.
