Inbox


In their Inbox the users will find all the documents that have been assigned to them, either individually or through a role. Depending on whether or not you have defined a duration for the tasks, they will see the date in which they are due and, according to the color, they will see if they are overdue (red), if they have less than 24 hs left to complete them (yellow) or else the due date has not yet been reached (green).





Starred


When a user marks a document as starred (by clicking on the star that is found in the Inbox as well as on each task), this document will be visible in the Starred tray.



Outbox


Every user will see in his/her Outbox the documents over he/she has acted upon. The documents will be stored in this section for 10 days after the completion of the task, provided that no one has taken another action on that same document in that period.



Finalized


In the Finalized section you will be able to see all the documents that have been finalized and about which you have Reader when completed permission.



Filters in Inbox and Finalized Trays


The trays can be sorted by modification date or identifier, but in the Inbox and Finalized trays, you can also apply filters to display only the tasks and processes that matter to you.

This allows you to focus on what really needs your attention and find what you need more quickly.


💡 Tip: Use saved filters to create quick access to different types of tasks — like having multiple personalized trays.



How to save a new filter?


You can save up to 5 independent filters in each tray. To create one, follow these steps:


  1. Select the processes and tasks you want to include in the filter.
  2. Click the Save button, enter a clear and descriptive name for your filter, and confirm the action.





Once saved, your filter will appear in the icon on the right side of the panel. You can activate it at any time to streamline your daily work.


To remove an active filter, simply click the "X" shown in the filter bar.





How to edit or replace an existing filter?


Editing a saved filter is easy!

Just apply new search criteria and save a new filter using the same name as the one you want to update.


The filter name is not case-sensitive. For example, “My Filter” and “my filter” are considered the same name.






Deleting a filter


To delete a filter, click the x next to the name of the saved filter.
