DocuSign is an electronic signature platform that allows you to sign any document, from a contract to a simple authorization, without the need to print, scan, or send physical documents by mail. The integration of DocuSign with Flokzu combines electronic signatures with the power of workflow automation, allowing organizations to achieve greater agility and competitiveness in digital work environments.

What can you do with DocuSign?



Imagine you want someone to sign a contract or a permit. With this integration, you can automate the entire process. Flokzu will automatically create a document package in DocuSign and send it to the specified person for their signature. It's that easy!

This integration allows you to automatically create envelopes in DocuSign by sending attached files included in your form fields. In DocuSign, an envelope refers to the set of documents you send for signature, along with the recipient's information.
When creating your process workflow, you can specify when document signatures should be requested. Flokzu will automatically send the files, and DocuSign will request the signatures from the recipients.
Once the envelope is created, you can track its progress at any time from both the Flokzu instance and DocuSign, while the signed version of the document will only be accessible from DocuSign, giving you greater control over the viewing permissions of your data.

Linking your DocuSign account



To connect your DocuSign account to Flokzu, follow these simple steps:

Go to the Configuration - Advanced section in Flokzu and look for the Digital Signature option.
In the Integration with DocuSign section, click on Enable Permissions. You will be redirected to DocuSign and asked for your password (if you haven't already logged in). Then, you'll need to authorize the integration with Flokzu. This will give Flokzu permission to access your DocuSign account and send documents on your behalf.
As a final step, enable the integration using the slider on the right side.



How does it work?



The integration with DocuSign is unique for all processes in your organization, which means that once enabled, any process in Flokzu can send documents for signature using your DocuSign account. However, only people with access to your DocuSign account will be able to view the signed files. This way, you can ensure effective data control in case of sensitive information.

Adding integration to the process workflow



To add a signature submission, simply drag a Service Task into your process workflow and select the DocuSign option.

If you have not yet linked your DocuSign account, you will not see this option in the Service Tasks.

Optionally, you can add a name to the Task to help you identify the action in the workflow.
To configure the submission, you must complete the following fields:

Subject: This is the text that will appear in the subject of the email sent to the signers.
Attachments: Select the Attachment type fields where the files to be signed are located.
Signers: Here you must indicate the name and email of the signers. You can select fields from the form or add them directly by clicking on the pencil icon.
Followers: Optionally, you can send a copy to anyone who does not need to sign the document. CC recipients can view, download, and print their documents, but cannot perform any other actions. It is useful to add the author of the document being sent for signature in case they are not the owner of the DocuSign account.

AMOUNT OF ATTACHMENTS: You may add up to 5 files per submission. The total size of the files may not exceed 10 Mb.



Sending files to sign



When your process is running and the instance passes through the DocuSign Task, the envelope with the selected attachments will be created and sent to the signers automatically.

Digital Signatures tab



Once the envelope is sent, you will see an additional Digital Signatures tab where all the sent signature requests associated with the instance are listed. From there, you can view the file names, signers, and track the status of the signature:

sent: The email notification has been sent to at least one recipient. The envelope remains in this state until all recipients have viewed the documents.
delivered: All recipients have viewed the documents.
completed: The envelope is complete when all recipients have signed the documents.
declined: A signer has declined the signature request.

Please note that the signed version of the file will only be accessible from DocuSign.

The Digital Signatures tab will be visible in all User Tasks where the permission to view the Attachments tab is enabled.
