How to define an 'alias' for a user?
What is an ‘email alias’?
If you define an email alias for your account, this alias will receive a copy of all the messages that are directed to your user and it will also be able to complete tasks by email on your behalf.
Keep in mind that in order to perform the tasks assigned to your account, the user defined as an alias needs to be a member of your organization's Flokzu account. Otherwise, it will receive the tasks' email notifications but it will not be able to complete those tasks.
Defining an alias for your user
To define an alias for your user, just click on the email address of your account that appears in the upper bar and select ‘Edit profile’.
Next, you will be asked to enter your email address and password of your Flokzu account. Once you have done this, a new window with relevant information of your account will appear, which you can modify anytime. Go to the ‘Email alias’ section and define an alias for your user.
Important: You can disable this functionality at any moment. The people that used to receive the copies of your tasks in their Inbox will no longer do so. To disable this functionality, simply remove the email address you had assigned as an alias in the section ‘Email alias’.
Usefulness of email aliases
An email alias can be useful, for example, if you want that someone (a manager, supervisor or the person in charge) be able to track your tasks and email notifications. In this case, you can set up an email address so that it is easier for that person to track your activity in the organization.
You can also use an email address in case you need to go on a business trip or vacation. Imagine that you have many tasks that need to be completed by you and you don’t want to wait one or two weeks to complete them. If you define an alias for your user, these tasks will be automatically assigned to another person so that he/she can complete them on your behalf, for the time that be needed.
